What we collect
When a family, team or coach uses a PrepHeat form we collect what you type in: for players, things like name, grad class, position, height/weight, summer team, video links, player email (optional) and a parent/guardian's name and email; for teams, coach name, email and roster details; for coaches and scouts, name, title, program and work email. With each player submission we record which version of the consent statement was accepted, the time, and the country the request came from. We do not store your IP address; we use a one-way scrambled version of it for about an hour only to stop spam.
Minors
Most PrepHeat players are under 18. We collect a minor's information only with a parent or guardian's consent, given on our player form or through the player's team with confirmed parent consent. Rows on a team roster without confirmed consent are not published.
How we use it
- To build and display the player's PrepHeat profile.
- To share profiles with verified college coaches and pro scouts the family chooses to connect with.
- To run PrepHeat events and contact teams and families about them.
We do not publish phone numbers, email addresses or home addresses on profiles. Contact requests go through PrepHeat.
What we never do
We do not sell your data, and we do not share it with advertisers or data brokers.
Where it's stored
The website and form submissions are hosted and stored with Cloudflare (Cloudflare Pages and Cloudflare Workers KV). Only PrepHeat administrators can view submissions.
How long we keep it
We keep profile information while the profile is active and for up to 12 months after a player's last PrepHeat event or activity, unless you ask us to delete it sooner. Unpublished requests we can't act on are deleted periodically.
Delete my data
A parent/guardian, an adult player, or a coach can ask us to see, correct, or delete their information at any time by emailing [email protected] with the subject "Delete my data" and the player or team name. We will remove it from the site and our records and confirm by email.
Changes
If we change this policy we'll update the date above. Questions: [email protected].
